Your day to day
Assist the Capital Projects Team in monitoring, recording and processing of capital expenditures transactions for multiple assets. Responsible for preparing monthly and annual financial statements, reconciliation of transactions to ensure the proper recording of expenditures and that recording of fixed asset renovations has occurred. Collaborate with and support executives, project managers and third party consultants in performing accounting, analysis and auditing duties. May lead and review the work of less experienced staff by providing mentoring, technical guidance and/or training in daily activities.
Review project budgets and capital plan reports to support the Capital Projects Team in processing and delivering capital renovation projects. Develop analytical tools and Structure all new capital budgets according to approved template, and correctly establish necessary categories in PeopleSoft based on project needs and anticipated commitments. Revise or restructure budget template as needed to streamline or improve project budgeting processes.
Develop appropriate budget detail,forms and procedures with guidance from the Capital Team Project Managers so that accurate budget information and performance are measured and reported to Capital Team Project Managers, Asset Management, Operations and/or Owners as needed or at least on a monthly basis.
Perform and review Reconciliation and true-up of funding vs. actual expenditures of capital project accounts to determine status of outstanding commitments relative to spend, and make recommendations on inactive balances for close-out and/or reallocation of available funds. Reconcile contracts and purchase orders against approved contractual budgets and commitments.
Review and reconcile PeopleSoft budgets against those maintained by third party consultants. Review draw packages for accuracy and completeness and prepare wire transfers and check requests as directed. Work with third party vendors as needed to resolve discrepancies, ensure the accurate processing of invoices, etc.
Assist Capital Project Managers as required with overall management of project budgets and/or capital plans. Prepare regular financial and project reports (detailed budget movement, contingency activity, consolidated budget summary, projects by project manager, document management system queries, etc.), and adhoc reports as needed or required.
Prepare and track accruals and accrual entries to ensure timely and accurate tax payments
Work closely with the Tax and Financial Reporting teams to ensure capital assets, depreciation, construction in progress, etc. and all other related transactions are properly recorded in PeopleSoft and filed appropriately for future audits and use.
Present financials to the executive team when needed
What we need from you
Education – Bachelor’s or Master’s Degree in Accounting, Finance or a relevant field of work, or an equivalent combination of education and work-related experience.
Experience – 8+ years progressive work-related experience in financial planning and analysis, with demonstrated mastery of technical and business knowledge, including budgeting and capital control, preferably in hotel operations or a similar environment. Architectural & construction project accounting experience a plus.
Technical skills and Knowledge –
Demonstrated financial and business analysis skills, and demonstrated ability to analyze operating, forecast, and budget information. Demonstrated ability to use the results of analysis to make effective strategic decisions
Demonstrated understanding of capital account principles (capital control, capital spend, etc.)
Demonstrated effective verbal and written communication skills for the purpose of providing information to clients, vendors and/or staff. Must be able to work effectively with senior managers, possess strong relationship management skills, and well-developed negotiating and persuading abilities. Effective presentation skills for the purpose of presenting ideas, programs or strategies to corporate and hotel management.
Demonstrated knowledge of financial statements, financial principles and the ability to convert them to use in the hotel industry.
Demonstrated advanced knowledge and proficiency in PeopleSoft, EXCEL, Access, Ariba and PowerPoint for the purpose of recording, tracking and presenting financial analysis and planning data. Must be able to run complex queries in PeopleSoft or similar system.
Advanced to expert knowledge in Excel including filters, pivot tables, etc.
Excellent verbal, written and presentation skills. Ability to present to an executive audience.
Demonstrated analytical skills and ability to use the results of analysis to make effective strategic decisions.
Demonstrated understanding of budgeting and project accounting principles.
Demonstrated effective organizational and problem solving skills.
Ability to act and operate independently with minimal daily direction from Manager to accomplish objectives
