Job Purpose

  • The Express Assistant Manager plays a significant role in the Holiday Inn Express management structure.

  • In addition to seconding the General Manager overseeing the guest service functions, he/she has the key responsibility to manage and supervise all outsourced services. The key outsource functions being Housekeeping, laundry operations, Engineering & Building services and Security Services This will involve performance assessment, communications, fee monitoring - billing, quality assessment and procedural compliance. He/she will also be responsible for maintaining any required hotel licensing (Occupation certificate, Liquor License compliance, DA compliances etc.)

Duties and responsibilities

Financial Returns:

  • Preparation of the annual departmental operating budget and financial plans.

  • Monitor budget and control expenses with a focus on increasing productivity.

  • Responsible for training, supervising IHG standards in these areas such as I-Clean and PMM procedures ensuring full brand compliance.

  • Responsible for inventory levels, managing cost per room for supplies and labour. (Example: bed & Bath linen reuse and laundry operation).

  • Assisting the General Manager & Shared Services Head of Finance in preparing annual capital, cash flow to accurately forecast budgets and achieve required operating results.

  • Analyse financials with General Manager & Shared Services Head of Finance to drive revenues, future profitability, and maximum return on investment.

  • Assist General Manager in leading capital plans and asset management initiatives, including working with owners to maintain or improve the property’s market leadership position.

  • Assist General Manager in hotel renovation works and other projects, ensuring the projects are completed on time and on budget.

People:

  • Provide mentoring, coaching and regular feedback to help manage conflicts and improve team the performance of team member.

  • Educate and train all team members in compliance with federal, state and local laws and safety regulations. Ensure staff is properly trained and has the tools and equipment to carry out job duties.

  • Promote teamwork and quality service through daily communication and coordination with other department heads.

  • Develop programs that drive improvements in team member engagement and are aligned with the Stay Real brand service behaviors.

  • Develop, implement and monitor team member succession planning to ensure future bench strength. Establish performance and development goals for team members.

  • Oversee any salary, disciplinary or staffing/human resources related actions in accordance with company rules and policies.

Guest Experience:

  • Manage outsource services efficiently and efficiently. Schedule routine inspections of guest rooms and public areas to ensure furnishings, rooms, equipment, linens, toilet facilities in public areas, lobby, etc. are clean and in good repair to meet guest satisfaction. Advise employees of deficiencies and instruct on corrective actions.

  • Ensure preventive maintenance programs for hotel facilities are carried out as per plan.

  • Respond to guest complaints, special requests and ensure corrective action is taken to achieve complete guest satisfaction.

  • Understand and respond to customer’s needs and ensure a high level of guest satisfaction

  • Demonstrate brand citizenship by maintaining compliance with all required brand standards, behaviors, hallmarks and license agreement mandates.

  • Drive improvement in guest satisfaction goals. Collaborate with colleagues and hotel team members to establish and implement services and programs that meet or exceed guest expectations.

Responsible Business:

  • Maintain and order supplies and equipment in a timely and efficient manner while minimizing waste and maintaining “green” initiatives (example: container recycling, and cleaning agents).

  • Accountable for the security of lost and found items throughout the hotel.

  • Ensure a safe and secure environment for guests, team members and hotel assets in compliance with hotel or owner policies and procedures and regulatory requirements. Maintain relations with outside contacts.

  • Act as public relations representative to raise awareness of hotel and brand in local community. Drive team member involvement in community organizations, activities and businesses.

  • Develop and carry out action plans to be environmentally conscious by taking steps to reduce the hotel’s carbon footprint.

Perform other duties as assigned. May also double up as General Manager in his absence.

ACCOUNTABILITY

This is an essential role in the hotel as he/ she key responsibility is to manage and supervise all outsourced services.

QUALIFICATIONS AND REQUIREMENTS

Bachelor’s degree / higher education qualification / equivalent in Hotel Administration, Business Administration. Four to six years’ prior hotel management experience or equivalent combination of education and experience. Experience required may vary based on size and complexity of operation. Must speak fluent English and local language. Other languages preferred. Post-holder must have a development plan that is regularly reviewed.
